Black Friday and holiday emails for coffee roasters and cafes

Coffee is a product people run out of, and that is your advantage. A bag bought on Black Friday is a bag they will need again in three weeks. Your holiday emails can win the gift sale now and the subscriber for the year.

Three kinds of buyers on your list

People on a roaster’s list usually fall into three groups. Regulars already buy a bag every few weeks. Gift buyers want something for a coffee-loving relative and do not know a washed Ethiopian from a dark roast. And cafe visitors signed up at the counter but have never ordered online. Your emails should speak to all three, and your plan should let each find their way in: a simple subscribe offer for the first, a gift bundle for the second, a first-order perk for the third.

Subscriptions: a clear, honest offer

If you offer a subscription, Black Friday is when to talk about it. Keep the terms short and plain: how often it ships, how to skip or cancel, and what the perk is. A discount on the first order, a free bag after a set number of shipments, or a small gift with sign-up are common choices. Make sure you can afford whatever you promise. For gift subscriptions, say how many months it covers, and how the recipient is told.

Holiday blends and limited roasts

A seasonal blend is an easy email story: what it tastes like in plain words, where the beans came from, who roasted it, and how long it will be around. Avoid cupping-sheet language unless your list uses it. “Chocolate, orange peel, and a long, sweet finish” says more than a score. If it is a small batch, say when you will run out, and let people reserve a bag.

Gift bundles and ship-by dates

Bundles make coffee gifts easy: two bags and a mug, a tasting flight of three small bags, a bag with a pour-over filter set. Name each one, show a photo, and show the price. Fresh roasted coffee needs a clear schedule, so state your roast days and your shipping days, and the last order date for delivery before Christmas. Do not promise a delivery date that depends on the carrier; give your ship-by date and a plain note on carrier timing. Offer to add a gift note, and say so.

The five emails

  1. Holiday blend reveal and early access (the week before). The blend’s story, the roast date, the quantity, and early access for subscribers and your list.
  2. Black Friday: one offer. Free shipping over a set amount, a gift bundle price, or a subscription perk. Choose one and state the end time.
  3. Small Business Saturday: visit the cafe. Saturday hours, a free sample or a small drink offer, the roasting room if you offer a peek, and a thank-you to the neighborhood. Examples.
  4. Cyber Monday: gifts and subscriptions. Last day of the offer. Put the gift subscription up front, with one line on how the recipient is told.
  5. Ship-by reminder (early to mid December). Last order date for gifts to arrive before Christmas, roast and ship days, local pickup options, and gift cards. Last-day template.
